Terms and Conditions

1. The term “Exhibitor” refers to the company that signs this application form and includes all its employees or agents. The term “Exhibition” refers to the event described in the heading of this form. The term “Organizer” refers to Oman International Business Networks S.P.C / TNCC in the case of joint ventures, each exhibitor listed shall be deemed to have obtained the approval of all individual participants regarding all the terms and conditions of this contract.

2. The Organizer reserves the right to cancel the reservation upon prior notice to the Exhibitor or its agent if the Exhibitor fails to make payments by the due dates. In such cases, any amounts already paid to the Organizer shall not be refunded, and the Organizer reserves the right to request the remaining balance from the Exhibitor. The Organizer also reserves the right to charge additional interest on overdue payments at a rate of 10% per annum, calculated from the due date until the actual payment date. Any loss incurred by the Organizer resulting from the actions of the Exhibitor must be compensated by the Exhibitor.

3. All applications for space must include details of the proposed exhibit(s) and the name of any other company or companies represented by the Exhibitor whose products or services will be displayed at the booth. The Exhibitor is strictly prohibited from subletting, assigning, licensing, or granting the use of any part of the allocated space without prior written approval from the Organizer. Only the products, services, and companies listed in this form may be displayed. The space rental fee does not include any applicable national, federal, or local government taxes, which shall be fully borne by the Exhibitor. Any changes in VAT are subject to government regulations. If VAT is imposed by the Government of the Sultanate of Oman, such charges shall be added retroactively and paid by the Exhibitor.

4. The Organizer has the sole and exclusive right to determine the size, design, and location of any booth. The Exhibitor must accept any new size, design, or location of the stand if the Organizer reasonably exercises this right. The Organizer reserves the absolute and final right to reallocate space or alter the floor plan at any time for operational, safety, or aesthetic reasons while informing the Exhibitor.

5. Once the application for space is accepted, a contract is established between the Organizer and the Exhibitor under the terms and conditions of this agreement, subject to any amendments notified by the Organizer. If the Exhibitor fails to pay any due amount or breaches any of these terms and conditions, the Organizer shall have the full right to cancel this license, re-enter the allocated space, and remove or exclude the Exhibitor without prejudice to recovering all amounts due under this agreement, as well as any other claims or damages incurred by the Organizer.

6. The Exhibitor must occupy the allocated space by 8:00 AM on the day preceding the first day of the exhibition opening. In the event of failure to do so for any reason, the Exhibitor shall pay the Organizer an additional amount as liquidated damages equal to the total cost of the space. The Organizer reserves the right to reallocate the space in any manner deemed appropriate.

7. In the event of the Exhibitor’s bankruptcy or liquidation proceedings, the contract with the Exhibitor shall be considered null and void, and the Organizer shall retain all amounts already paid.

8. Exhibitor Breach of Contract and Withdrawal
Without prejudice to the Organizer’s rights and remedies concerning any breach of contract by the Exhibitor, the Organizer may, at its discretion, allow the Exhibitor to withdraw from the exhibition subject to the following conditions:
a) The Exhibitor must submit written notice to the Organizer expressing its intention to withdraw. If the Organizer allows such withdrawal, it will notify the Exhibitor of its decision in writing.
b) Any such notice issued by the Organizer to the Exhibitor shall constitute cancellation of the contract, subject to payment by the Exhibitor to the Organizer for release from the contract.
c) The amount payable will be specified in the Organizer’s notice to the Exhibitor and will represent a percentage of the space rental fee payable under the contract, depending on the date the Organizer receives the withdrawal notice from the Exhibitor.
d) Upon payment of this amount to the Organizer by the Exhibitor, and after the Organizer credits any rental payments already made by the Exhibitor, the contract shall be canceled, and neither party shall have any further claims against the other.
e) Exhibitors are fully responsible for obtaining visas and customs clearance for their staff, agents, products, or services. Under no circumstances shall any claims for compensation or damages be made against the Organizer regarding any losses or expenses related to these matters.
f) Exhibitors are fully responsible for the cost of restoring any part of the land or structure they occupy that has been altered or damaged in any way to its original condition.
g) The Exhibitor shall indemnify and hold the Organizer harmless from all losses or damages incurred as a result of any act or omission by any servant, agent, employee, or subcontractor of the Exhibitor.
h) The Organizer shall not be responsible for any loss or damage to the Exhibitor’s property or that of any other person due to theft, fire, or any other cause whatsoever, nor for any loss or damage suffered by any Exhibitor due to defects in the building or as a result of fire, storm, lightning, national emergency, war, labor disputes, strikes, lockouts, civil disturbances, explosions, unavoidable accidents, force majeure, or any other cause beyond the Organizer’s control.

9. The Organizer shall also not be liable if the exhibition is prevented from opening, delayed, or if the venue becomes wholly or partially unavailable due to such events. The Exhibitor shall be responsible for third-party claims arising from its booth fittings, installations, or its share of the shell scheme structure, as well as for any material loss or damage to the shell scheme stand. Since the Organizer does not accept any responsibility for the above matters, Exhibitors are required to obtain adequate insurance coverage where available. It is a mandatory condition of participation that the Exhibitor maintains adequate Public Liability Insurance. The Organizer shall not be held responsible for theft, fire, or damage to any property brought into the venue. The Organizer reserves the right to deny entry to any Exhibitor who fails to provide proof of insurance valid throughout the period time of the exhibition.

10. The Organizer shall not be liable for any failure to perform its obligations if the event is postponed or cancelled due to Force Majeure, which explicitly includes but is not limited to: acts of God, war, civil unrest, epidemics, pandemics, government-mandated lockdowns, travel restrictions, or border closures. In such instances, all fees paid will be credited toward the rescheduled dates, and no refunds shall be issued.

11. The Organizer has the right to postpone the event to a later date if organizational, operational, or force majeure circumstances arise beyond its control.

12. If the Participant wishes to withdraw from the Participation after signing the Contract or paying the Fee, the Participant must inform the Organizer in writing. Participation fees are non-refundable and 100% non-transferable.

13. The Organizer reserves the right to make organizational adjustments to the event program, location, space allocation, or activity schedule in a manner that serves the successful organization of the event.

14. The Organizer reserves the right to impose additional charges on exhibitors equal to any amount incurred for services provided.

15. Exhibitors are not permitted to charge any entrance or participation fees to attend the exhibition unless written permission is granted by the Organizer.

16. The Exhibitor must comply with all applicable laws and governmental regulations relating to the use of the exhibition venue.

17. Exhibitors must comply with all regulations and instructions of the Saba Saba Conference and Exhibition Center.

18. The Exhibitor shall indemnify and hold the Organizer harmless from damages caused by the Exhibitor or its representatives.

19. The Exhibitor shall not display or use hazardous, explosive, radioactive, or dangerous materials without written consent from the Organizer.

All stand installations and display materials must comply with local fire, health, and safety regulations. No Exhibitor may construct any structure higher than 2.5 meters without prior written approval from the Organizer. All booths constructed by the Exhibitor must receive approval from the Organizer. All displayed materials and exhibits must be appropriate to the theme of the exhibition, tasteful, of a high standard, and must not violate any local laws, customs, or moral standards. If the Organizer believes the Exhibitor breaches this clause, the Organizer may instruct the Exhibitor to rectify the breach immediately, and the Exhibitor must comply without delay.

20. The Organizer reserves the right to change, add, or amend any of these terms and conditions.

21. The Exhibition is organized through a strategic partnership where OIBN is responsible for global marketing and exhibitor recruitment, while TNCC manages the local organization in Tanzania.

22. The Exhibitor shall indemnify and defend the Organizer against intellectual property infringement claims related to the Exhibitor’s products.

23. Reputation Protection and Digital Integrity: The Exhibitor shall maintain the professional reputation of the Organizers and must not publish defamatory or damaging content about the exhibition or organizers.

In the event of a conflict of interest, technical dispute, or organizational grievance, the Exhibitor must exclusively follow the formal procedure by submitting a written complaint to the Organizer’s management within two weeks of the event's conclusion. Any breach through public defamation or online abuse will allow the Organizer to take legal action and seek financial compensation and may result in termination of participation without refund.
Booth Selection
Select a sector first. Hall will be assigned automatically. Then choose 1 booth for 9 sqm, 2 adjacent booths for 18 sqm, or 4 booths in a 2×2 block for 36 sqm.
